Where the Report is Located
From the Navigation menu of eCSSS, select Reports, then select the report pictured below:
REMINDER: Click Add Parameter to narrow your results. See Creating a Report for detailed instructions.
The DOE information database is refreshed every night at midnight. This includes information that comes off the VAX. Please keep in mind that your report results will reflect information that is current as of the last time the refresh was completed.
A Look at the Report
Report results are based on student records that meet specific criteria, which are detailed in How Student Records are Counted in Reports – Criteria (later in this document).
When you read this report, please be aware of the following:
IDEA Eligible Results
# of IEPs – This number represents all IEPs, regardless of status (i.e., - they can be draft or active). Records are based on student records identified as IDEA-eligible.
# Current – This number represents only IEPs that have an IEP Conference Date that is within one year of today’s date. As such, this number can include plans that have not been activated.
% - This is the percentage of IEPs that are current (see definition in previous list item).
# Activated – This is the number of current IEPs that are activated.
% Activated – This is the percentage of current IEPs that are activated.
504 Eligible Results
# of 504 Plans – This number represents all 504 Plans, regardless of status (i.e., - they can be draft or active). Records are based on student records identified as 504-eligible.
# Current – This number represents only 504 Plans that have an IEP Conference Date or 504 Plan Conferences Date that is within one year of today’s date. As such, this number can include plans that have not been activated.
% - This is the percentage of 504 Plans that are current (see definition in previous list item).
# Activated – This is the number of current 504 Plans or 504 Plans that are activated.
% Activated – This is the percentage of current 504 Plans or 504 Plans that are activated.
RELATED REPORTS – Results from this report should match results in IEP Data (Student Report) Daily as of mm/dd/ccyy or 504 Plan Data (Student Report) Daily as of mm/dd/ccyy.
All records must meet specific criteria to be counted in the reports. If student records are missing in your reports, please review the criteria below and correct your records, if appropriate.
1) BASIC CRITERIA - Records must match basic criteria for appropriate plan.
Review basic criteria for IEP.
Review basic criteria for 504 Plan.
2) ELIGIBILITY DETERMINATION
The following criteria must be met relating to Eligibility Determination:
Most recent Eligibility Determination with Filed Date must = Yes for 504 or IDEA.
For 504 only:
Student’s Student Enrollment Status must be blank.
On 504 Plan Actions tab, the 504 Plan Exit Date must not be later than the Eligibility Decision Date for the most recent Eligibility Determination with a Filed Date.
