About Notifications

When you log into the eCSSS main screen, you may see notifications for upcoming deadlines or deadlines that have passed. Notifications in red are past due.

 

  1. Highlight the notification row, then click Open Student. Make the appropriate update.

  2. After the update has been made (see table below), the notification will terminate and go into the notification archive.

The table below includes a list of all possible notifications and explanations for why you received them and how to terminate them. More notifications  will be available in future releases.

WHY RECEIVED

HOW TO TERMINATE*

Serious Discipline

You will receive this notification when any of these four disciplinary actions occur:

-      Suspension greater  than 10 days

-      Dismissal

-      Disciplinary Transfer

-      Referral to Alternate Education.

 

 

The CAS must enter a value in the CAS Authorization field and a date in the CAS Authorization Date in the CAS Authorization tab. Find the field in the following location: Student Profile > Incident Tab > Suspect Form > Discipline Tab > Open disciplinary action > CAS Authorization tab.

 

Referral Action Due Date (both Initial and Re-evaluation)

The 15-day timeline end date is approaching. Notifications are sent when:

-         A Referral is marked with Suspicion of Disability

-         The Referral is saved with a Filed Date (the 15-day timeline is based on this date). The timeline is then calculated from the Received Date.

-         A PWN for Evaluation Status has not been filed as the deadline approaches. NOTE: System Administrators set the number of days warning you receive prior to a deadline.

 

 

Create PWN for Evaluation Status and save with Provided to Parent Date.

Assessment Report

The Assessment Due Date is approaching  Notifications are sent when:

-         An Assessment Report has not been saved with a Submitted Date as the deadline approaches.

 

 

Submit the Assessment Report with a Submitted Date. The notification also terminates if the Assessment Request is withdrawn.

60-Day Timeline (both Initial and Re-evaluation)

The 60-day timeline end date is approaching. Notifications are sent when:

-     The timeline started. Please see 60-day Timeline: How It Begins.

-     Neither of the conditions for ending the timeline have been met as the deadline approaches. Please 60-day Timeline: How It Ends.

 

 

There are several ways to end an evaluation. Please see 60-day Timeline: How It Ends. Entering the data per applicable scenario will terminate the notification.

504 Plan or IEP Activation

This message reminds you that an 504 Plan or IEP is saved but not activated.

 

 

Activate the 504 Plan or IEP. The notification also terminates when the student is found ineligible and decision is noted in a new Eligibility Determination.

 

Service Gap

The message is a reminder that services assigned in a 504 Plan or IEP should begin soon. Notifications are sent when:

-         The plan’s Projected Start Date is approaching but a Service Log has not been entered.

-         A Service Log does exist but the Projected Next Service Date has passed and a new Service Record for the next service has not been entered.

 

For services that are starting, enter a Service Log. For services that are continuing, enter a new Service Record.

504 Plan or IEP Annual Due Date

The Annual Due Date is approaching. Notifications are sent when:

-      504 Plan Initial or IEP Initial is Active.

-        It is approaching the one-year mark since the 504 Plan Date or IEP Date on the last active plan.

 

 

Activate an annual plan.

504 Plan or IEP Reevaluation

The Reevaluation Due Date is approaching. Notifications are sent when:

-         It is approaching the three-year mark since the Eligibility Decision Date recorded in the last Eligibility Determination document that contains a Filed Date for the initial plan.

 

 

The notification closes when a new Eligibility Determination on a new Referral is saved with a Eligibility Decision Date and Filed Date.

Decline FAPE

The next Re-Offered FAPE Date is approaching. New FAPE Offers are only made to IDEA-eligible students who have exited the system with one of the following exit codes: 010, 043, 045, 046,050,051,052, 053, 055, 056, 058, 060, 063, 064, 068, 075, 098. The offer is calculated as one year from the last Declined Date.

 

 

Record whether parent declined FAPE on the Program tab of the Student Profile. The notification also closes if FAPE entries were edited to push the next due date outside the notification range.

 

Transfer Notification

This is a notification that a student who is eligible for 504 or IDEA has transferred to or reenrolled at your school. Notifications are sent when the Admission Date is updated in the Demographics tab.

 

 

This notification will  automatically expire to the archives after a pre-set number of days have lapsed.

Initial IEP Due Date

The due date is based on the value in Initial IEP Due Date field in the Student Profile:Referral Tab – Consent Form 102b. The field is populated with the earlier of the following:

• Sum of the School Received Consent Form Date + 15 days OR

Eligibility Decision Date + 30 calendar days.

Consent Form 102b with Consent Given = "Yes" but the consent was revoked,

OR

IEP Actual Conference Date in the Referral that contains the ED that determined the student’s eligibility is provided. The IEP still can be a draft when the tickler action completes,

OR

The Referral that contains the ED that determined that student’s eligibility has an Active IEP or Previously Active IEP,

OR

The Students exits DOE and has the following exit codes:

011, 012, 080, 090, or 091 and the SIS Record Status is not equal to blank.

 

* If originating records are deleted, the notifications generated by these records also will be deleted, including archived messages. In addition, notifications terminate when records indicate death, graduation or relocation outside Hawaii.
